crewlist.ro is a digital crew scheduling platform for the Romanian film and television industry, operated by Ateluhm, with registered activity in Romania.

2. Acceptance of Terms

By creating an account on crewlist.ro or by accessing any page of the platform, you confirm that you have read, understood, and agree to these Terms and Conditions in their entirety.

If you do not agree, you must not use the platform.

These terms apply to all users — Members (registered accounts) and guests (QR code access without login).

3. What the Platform Does

crewlist.ro allows:

• Project managers to create productions, schedule shooting days, assign crew roles, and generate a day-scoped QR code for on-set access
• Crew members to view their schedule, confirm or decline availability, and contact other crew members
• Guest users to view the day’s crewlist via a QR code without creating an account — no personal data is stored for guest access

The platform does not replace formal employment contracts, call sheets, or any legally binding production documents.

4. User Accounts

4.1 Registration

Access to crewlist.ro is by invitation only. To create an account you must provide a valid invitation code issued by an existing member or by the platform administrator. You must also provide: a display name or nickname, your legal name, a phone number, and an email address. At least one skill must be selected.

Persons added as Contacts by a project manager receive an invitation by email. This email constitutes a personal invitation to register and is non-transferable.

4.2 Accuracy

You are responsible for ensuring your information is accurate and up to date. Providing false information may result in account suspension.

4.3 Security

You are responsible for maintaining the confidentiality of your password. You must notify us immediately if you suspect unauthorised access to your account.

4.4 Age

You must be at least 18 years old to create an account, or the minimum legal working age in your jurisdiction if higher.

4.5 Invitation responsibility

Members who generate invitation codes are responsible for sharing them only with genuine film and television industry professionals. Sharing invitation codes publicly — including on social media, forums, or public messaging groups — is a violation of these terms and may result in the deactivation of your invitation privileges and account suspension. Invitation codes are personal and non-transferable.

5. Acceptable Use

You agree not to:

• Use the platform for any unlawful purpose or to facilitate illegal activity
• Harass, impersonate, or harm other users
• Upload false information about yourself or others
• Attempt to access parts of the platform you are not authorised to access
• Reverse engineer, scrape, or copy the platform’s code or data
• Use the platform to coordinate activity that violates Romanian law or EU regulations
• Prohibition on data harvesting: You may not copy, export, scrape, photograph, or otherwise extract personal data about other platform users (including names, roles, phone numbers, email addresses, or project associations) for use outside the platform. Personal data visible to you through your legitimate access to shared projects is provided solely to facilitate professional communication within that production. Any use of that data for commercial prospecting, building external databases, or any purpose unrelated to the shared production is strictly prohibited and may result in immediate account suspension and legal action under GDPR Article 83.

Violations may result in immediate account suspension without notice.

6. Subscriptions and Payments

6.1 Free tier

Every manager receives one free project. Crew members are always free.

6.2 Paid subscriptions

Additional projects require an active subscription. Subscription terms, pricing, and available plans are published at about.crewlist.ro/subscription.

6.3 Payment processing

Payments are processed by third-party providers. By purchasing a subscription you also agree to the terms of the payment processor used at the time of purchase.

6.4 Refunds

Subscription fees are non-refundable except where required by Romanian consumer protection law.

7. Content and Data You Provide

7.1 Ownership

You retain ownership of any personal data you submit. By submitting it, you grant crewlist.ro a limited licence to store and display it within the platform solely for the purpose of providing the scheduling service.

7.2 Professional closed platform

crewlist.ro is a closed professional platform accessible exclusively by invitation. It is intended for persons working in the film, television, and related production industries in Romania and the European Union. It is not a public social network or open directory. Every member on the platform has been invited by an existing verified member or by a project manager with a legitimate professional relationship. By registering, you confirm you are a working professional in this industry or are directly engaged by one, and that you will use the platform solely for professional scheduling purposes.

7.3 Contact records – third-party data

Project managers may store the name, phone number, and email address of persons who are not registered on the platform (“Contacts”). By adding a Contact, the manager confirms they have a legitimate professional basis to store that person’s information and that the person is aware their details are being used for scheduling purposes. Managers are personally responsible for ensuring Contact data is accurate and lawfully held.

7.4 Right to be forgotten – Contact records

Any person who discovers their name, phone number, or email address has been stored as a Contact on this platform without their consent may request removal by contacting admin [at] crewlist .ro. We will remove the Contact record and all associated project assignments within 30 days of a verified request. This right is separate from and in addition to any GDPR rights described in Section 17.

7.5 Right to be forgotten – Member accounts

Registered members may delete their own account at any time through the platform’s Settings page. Two options are available: soft deletion (account deactivated, scheduling history preserved for production records) and hard deletion (complete removal of all personal data). Both are irreversible.

7.6 Availability for suggestions

Members may choose whether their profile is suggested to project managers searching for crew. This setting can be changed at any time in Settings. Opting out does not affect existing project assignments but prevents discovery by new managers. Opting out does not constitute account deletion.

7.7 No data selling

We do not sell, rent, or otherwise transfer your personal data to third parties for commercial purposes under any circumstances.

8. Platform Availability

We aim to maintain continuous availability but do not guarantee it. The platform may be taken offline for maintenance, upgrades, or reasons outside our control. We are not liable for losses arising from platform downtime.

9. Limitation of Liability

To the maximum extent permitted by Romanian and EU law, by using crewlist.ro you expressly acknowledge and agree to the following:

9.1 Scheduling tool only

crewlist.ro is a crew scheduling and communication tool. It is not a production management system, a legal document service, a contracting platform, or a guarantee of any production outcome. The platform does not make creative, financial, or operational decisions on your behalf.

9.2 No liability for production outcomes

We are not liable, under any circumstances, for the success or failure of any production, project, shoot day, or creative endeavour managed through the platform. A production failing, going over budget, losing crew, missing deadlines, or underperforming commercially is entirely outside the scope of what this platform does or promises. Using crewlist.ro does not constitute professional production management advice of any kind.

9.3 No liability for crew conduct

We are not liable for the conduct, reliability, punctuality, skill level, or professionalism of any crew member or contact listed on the platform. The platform facilitates scheduling — it does not vet, endorse, or guarantee any person listed on a crewlist.

9.4 No liability for invitation misuse

We are not liable for any consequences arising from a member sharing their invitation code with persons outside the intended professional context. The platform operates on a trust-based invitation model and relies on members to uphold the professional standard of the community. Misuse of the invitation system is the sole responsibility of the member who issued the code.

9.5 No liability for missed notifications

We are not liable if a crew member did not receive, did not read, or did not act on a notification sent through the platform. Delivery of notifications depends on factors outside our control including email providers, device settings, and network conditions. Critical production communications must always be confirmed through direct contact outside the platform.

9.6 No liability for data entered by users

We are not liable for incorrect, incomplete, or misleading information entered by managers or crew members, including wrong call times, incorrect roles, missing contact details, or scheduling errors made by the user operating the platform.

9.7 No liability for platform unavailability

We are not liable for losses arising from platform downtime, maintenance, technical failures, or circumstances outside our control. The platform is provided as-is without guaranteed uptime.

9.8 No liability for disputes between users

We are not liable for any disputes, disagreements, or legal claims between project managers and crew members, between managers of the same project, or between any parties who connected through the platform.

9.9 No liability for third-party actions

We are not liable for actions taken by third parties including payment processors, email providers, or any external service connected to the platform.

9.10 Cap on liability

Our total liability for any claim, regardless of its nature, shall not exceed the total subscription amount paid by you to crewlist.ro in the twelve months immediately preceding the claim. If you have not paid anything, our maximum liability is zero.

9.11 Indemnification

You agree to indemnify and hold harmless Ateluhm, its operators, and any associated persons from any claims, damages, losses, or expenses (including legal fees) arising from your use of the platform, your violation of these terms, or your conduct toward other users.

10. Termination

You may delete your account at any time through the Settings page or by contacting admin [at] crewlist .ro.

We may suspend or terminate your account if you violate these terms, if the platform ceases to operate, or for any other reason with reasonable notice.

11. Changes to These Terms

We may update these terms at any time. We will notify registered users by email when significant changes are made. Continued use of the platform after notification constitutes acceptance of the updated terms.

12. What Data We Collect

12.4 Contact data (non-registered)

If a project manager adds you as a Contact (without a crewlist account), your name, optional phone, and optional email may be stored. You will receive an invitation email to register. If you do not register, your contact record remains associated with that project only. You may request removal at any time as described in Section 7.4.

14. How We Use Your Data

• To provide the scheduling platform and its features
• To send you notifications about projects, days, and jobs
• To allow other platform users to contact you via call or email buttons (your raw contact details are never displayed — the platform uses tel: and mailto: links that open your device’s native apps)
• To detect fraud and duplicate accounts (phone number last-digit matching)
• To maintain the integrity of the invitation system and trace the origin of accounts where necessary
• To comply with legal obligations

15. Who Sees Your Data

Within the platform

• Project managers can see the name, role, and contact buttons of crew members on their projects
• Other crew members can see names and roles on shared projects and the guest QR crewlist
• Platform administrator (Ateluhm) has full visibility for operational and legal compliance purposes, including invitation chain data

Outside the platform

We do not share your personal data with third parties except:

• Payment processors, when processing subscription payments
• Legal authorities, when required by Romanian or EU law
• Email delivery providers, to send transactional notifications

17. Your Rights Under GDPR

You can correct inaccurate data through your profile settings or by contacting us.

Right to erasure (Art. 17)

You can request deletion of your account and all associated data. Exceptions apply where data must be retained for legal compliance. Two self-service deletion options are available directly in your Settings page.

Right to restriction of processing (Art. 18)

You can request that we limit how we process your data in certain circumstances.

Right to data portability (Art. 20)

You can request your data in a structured, machine-readable format (JSON export available on request).

Right to object (Art. 21)

You can object to processing based on legitimate interest.

Right to withdraw consent

Where processing is based on consent, you can withdraw it at any time without affecting the lawfulness of prior processing.

18. How to Exercise Your Rights

Include your registered email address and a description of your request. We will respond within 30 days as required by GDPR. Identity verification may be required before processing sensitive requests.

19. Right to Lodge a Complaint

20. Data Security

We implement appropriate technical and organisational measures to protect your personal data, including:

• Encrypted HTTPS connections (TLS/SSL)
• Encrypted passwords (never stored in plain text)
• Server access restricted by firewall
• Regular backups of the database
• Rate limiting on authentication and sensitive endpoints
• Invitation-only registration to prevent unauthorised access

No method of transmission or storage is 100% secure. In the event of a data breach affecting your rights, we will notify you and the ANSPDCP within 72 hours as required by GDPR Article 33.

21. International Transfers

Your data is stored and processed in Romania on our own infrastructure. We do not transfer personal data outside the European Economic Area except where required by law.

24. How to Control Cookies

You can control and delete cookies through your browser settings. Disabling session cookies will prevent you from staying logged in. The platform does not function without session cookies.

Most browsers allow you to:

• View cookies stored
• Delete individual or all cookies
• Block cookies from specific sites
• Set preferences for future cookie handling

25. Guest Access and Cookies

The QR guest view (day crewlist without login) does not set any persistent cookies or collect any personal data. It is fully anonymous.

26. Governing Law

These terms are governed by Romanian law. Any disputes shall be subject to the jurisdiction of Romanian courts, specifically those in Bucharest, without prejudice to your rights as a consumer under EU law.
